VACANCY NOTICE
Applications are invited from suitably qualified persons for employment in the post of PATIENT SERVICES SUPERVISOR - INPATIENT at the Millennium Heights Medical Complex.
A. OBJECTIVE AND RELATIONSHIP
• Responsible for the direction and supervision of Inpatients Service Executives and Call Centre Operators through an effective application and enforcement of close supervision, hospital policies, standard operating procedures and sound management principles to meet the customer satisfaction levels.
• Supervise the day-to-day departmental issues and ensure there are no service lapses.
• Assist patient/visitor, guide, and provide them with relevant information.
• Provide information on the services offered at the facility.
B. MAIN DUTIES AND RESPONSIBILITIES
• Responsible to manage the Inpatients Services Executives and Call Centre Operators activities during the shifts as scheduled.
• Assist with the organisation, supervision, and coordination of the activities of the Inpatient Services Department in accordance with departmental/hospital procedures, to ensure a high level of customer satisfaction at MHMC.
• Assist patients/visitors by providing them with guidance and relevant information.
• Provide training to all the Patient Services Executives in terms of Inpatient Services Standard Operating Procedures (SOPs) to ensure that the highest standard of customer service is provided.
• Prepare workplans and establish work schedules for the Patient Services Executives to ensure equal distribution of the workload and revising schedules as required.
• Ensure that the collection of Inpatient feedback surveys by Patient Services Executives is above 90% of the total discharges.
• Liaise with consultants and nursing staff daily to ensure seamless coordination in terms of the activities carried out for patient care.
• Monitor and ensure that the cleaning of the wards is carried out and maintained.
• Undertake daily rounds of the wards and patient rooms to ensure the amenities provided in the areas are adequate and that the patients and their relatives are satisfied with the services offered.
• Make recommendations for improvements to ensure high levels of patient satisfaction.
• Actively participate in the collection of patient complaints and inform the concerned department for onward transmission to the relevant parties.
• Counsel Patient Services Executives on job performance and discipline.
• Schedule the roster for the Inpatients Service Executives and Call Centre Operators.
• Keep records of employee attendance, punctuality, vacation, and sick leave.
• Ensure safe working conditions in assigned areas and ensure the use of Incident Forms when necessary.
• Provide necessary data regarding the Inpatient Department and quality indicators to the Junior Health Services Manager when required.
• Collaborate with the Junior Health Services Manager on the review and redesign of processes for improvement when required.
• Collaborate with the Junior Health Services Manager for on-the-job training for new and current staff, to ensure familiarisation with department SOPs, processes and procedures at the hospital.
• Familiarise himself or herself with the Hospital’s Emergency Disaster Plan and train the Patient Services Executives accordingly.
• Convene periodic team meetings to provide staff with updates on patient services matters, reinforce training and discuss staffing issues to promote good work ethics, professionalism, team building and development.
• Immediately report and document to Junior Health Services Manager any observed or known safety hazards, conditions or unsafe practices and procedures.
• Evaluate the performance of staff of the Inpatient Services Department in accordance with established procedures and practices to ensure optimal performance.
• Perform any other job-related duties as assigned by the Junior Health Services Manager.

D. ACADEMIC QUALIFICATIONS AND EXPERIENCE
• Certificate/Diploma/Associates Degree in Hospitality Management or other related area.
• Minimum three (3) years’ work experience preferably from the healthcare/hospitality environment.
F. SALARY
Salary is commensurate with qualifications and experience.
