Vacancy - Inventory & Costing Clerk
Duties, Tasks & Responsibilities
Service & Quality:
You will be responsible for delivering 4-to-5-star resort services but with a friendly and personable quality to our guests, fellow colleagues and management.
You will ensure you carry out all your duties in professional and prompt manner, reporting to your supervisor/manager daily.
Communication:
You may be required to attend daily briefings and monthly meetings as requested by your manager.
You will ensure you read the staff notice board on weekly basis to ensure you are up to date on all information issued by the resort.
Inventory- Monthly and Annually:
Responsible for aiding in Month End / Annual Inventory regardless of holidays or days off.
Responsible for the costing of all overseas purchases
Responsible for posting of requisitions and invoices in QuickBooks when
Purchasing Officer requires:
Responsible for the updating of barcodes of inventory items
Responsible for the updating of wines and beverages in POS
Responsible for reporting and resolving any item missing from QuickBooks list when discovered, so it does not arise in the following month
Responsible for carrying out random stop check after inventory is complete
Responsible for ensuring all inventories are signed and approved by the relevant Head of Departments(HOD) and submitted to the Purchasing Manager by the 2nd of each month, with the exception of the wine cellar inventory.
Containers & Storerooms:
Responsible for receiving new items into inventory. Sorting and labelling where required.
Disbursing items based on requisition slips. Slips should have the signature of authorizing supervisor and be signed for on receipt by person receiving goods.
Record should be kept of each transaction according to system already established for inventory.
Computer system records should be updated daily.
Items falling short should be reported weekly to purchases.
It is required to be vigilant on matters of security, especially regarding the presence of other persons in storeroom and making sure rooms are always kept close when not present.
It is necessary that storerooms are kept clean, this including all items, shelves, and floors.
Due to the nature of technical operations, there will be times it is not possible to anticipate what difficulties may crop up during a job procedure and it may cause the calls on the clerk to disburse items. If there is such a situation where the clerk is not certain of what is happening, she may refer the matter to the technical supervisor
Gift Shop:
Ensuring that the gift shop is always kept clean; shelves are to be free from dust, windows and floors are to be kept clean and free from debris
Ensuring that gift shop is always fully stocked. That said, the reorder quantity for all items should always be maintained.
Responsible for ordering from local and overseas suppliers to fulfil the needs of the gift shop.
Responsible for gift shop tracking.
Ensuring that all items in the gift shop are in point of sale. Also responsible for entering new items into point of sale.
Linen:
Responsible for linen inventory
Responsible for reporting missing or damaged linen
Responsible for receiving linen and overseeing the count
Maintain/ update logbook for linens
Other Duties
From time to time, you may be requested by your Manager or Heads of Departments to carry out duties outside of your normal day to day responsibilities, unless these requests are Illegal, unethical, immoral or against the St. Lucian Labour Code you are expected to carry them out.
Hurricanes are part of what Ti Kaye Resort and Spa encounters occasionally and you will be expected to carry out duties outside of your normal duties to ensure the safety of your colleagues and guests at these times.
You will comply with the Ti Kaye Resort and Spa’s Standard Operation Process Manual; it is your responsibility to read it and understand it.
